What Does a School Management System Cost in Ghana?

School heads ask us this more than anything else. Here's an honest breakdown of what you actually pay for, the costs schools forget to count, and real numbers for a typical Ghanaian school.

"How much does it cost?" is the first question almost every school head asks us. It's a fair question, and the honest answer depends less on the software than on how a school chooses to get it. Here's how we'd explain it to a school board.

Three ways to get a school system

  • Build your own. You pay a developer to create software just for your school. You own it, but you also own every bug, every server bill and every update, and if your developer moves on, the knowledge often leaves with them.
  • Buy a licence. A one time payment for software installed on the school's computers. Cheap at first, but updates, backups and support usually cost extra, and your data lives on one machine.
  • Subscribe (software as a service). You pay per student, per term, and the provider hosts, secures, backs up and updates everything. This is how most schools now buy software, and how suku360 works.

What you're really paying for

The screen you click on is the smallest part of the cost. What you're paying for is everything behind it: secure hosting, daily backups, report cards that calculate correctly, fee records parents can trust, new features each year, and someone to call when something goes wrong in the middle of exam season.

Costs schools forget to count

  • SMS. Messages to parents usually cost per message. Budget for it separately.
  • Internet and devices. A cloud system needs a working connection and at least a few computers or phones for staff.
  • Data entry. Getting existing student records, classes and fee balances into a new system takes time. Ask whether the provider helps.
  • Training. Teachers need an hour or two to get comfortable. A system staff avoid is the most expensive kind.
  • Payment charges. Some systems take a percentage of every fee paid online. Over a year, that can cost more than the software itself.

Real numbers, using suku360

suku360 is our school operating system, built for Ghanaian schools. These are its published prices:

  • Standard (whole school): GHS 4 per student, per term.
  • Premium (whole school, adds the Nyansa AI Tutor and Teacher Copilot): GHS 32 per student, per term.
  • Classroom (one teacher, one class): GHS 8 per student, per term.

Every plan starts with a free trial, with no card required, and suku360 never takes a cut of parent fee payments.

For a school of 400 students on Standard, that's GHS 1,600 a term, or GHS 4,800 for the year. That covers admissions, attendance, results and report cards, timetables, fee records and parent communication, with hosting, backups and updates included.

Questions to ask any provider

  • Who owns our data, and can we export all of it if we leave?
  • Where is the data hosted, and how often is it backed up?
  • What happens during exams if the system goes down?
  • Do you take a percentage of fee payments?
  • Will you help us import our existing records?
  • Can we try it with real classes before paying?

Any provider that can't answer those clearly isn't one to trust with your students' records.

Try it before you decide

The best way to judge any school system is to run a real term's work through it. suku360 offers a free trial at suku360.com, and if you'd like help deciding what your school actually needs, email us at info@nerdsiv.com. We'll give you a straight answer, even if it isn't us.
