Privacy Policy

What we collect

We collect what you give us, for the purpose you give it:

• Contact form: your name, email address, topic and message.
• Project form: your name, email address, phone number, company if you add one, and your answers about the project, budget and timeline.
• Website chat: your name, email address, phone number and the messages you send.
• Event registration: your name, email address and phone number, plus your organisation, role, question for the session and how you heard about us if you add them.
• Job applications and emails: whatever you send to addresses such as apply@nerdsiv.com.

Forms and registrations are saved in our database and our staff are emailed about them. There are no accounts for visitors. Only our staff sign in, to manage the site.

Events, attendance and certificates

• Running the event: we use your details to confirm your place and to send you reminders, joining details, and notice of any changes.
• Attendance: online events give you a personal joining link. If you use it between 30 minutes before the session and 30 minutes after it ends, we record that you did. Our staff can also mark attendance by hand or from the meeting platform's attendance report, and their record takes priority.
• Follow-up: attendance decides which email you get afterwards. Attendees get our thanks, a feedback form and, where the event offers one, a certificate. Others get a note that we missed them, with any recording and resources.
• Feedback: your rating and comments are linked to your registration, so they are not anonymous to our staff.
• Certificates: each certificate has its own web page so that anyone can check it is genuine. Anyone with the link, certificate number or QR code can see your name, the event, its date and duration, and its venue if it was held in person. We ask search engines not to list these pages. Tell us if you would like yours taken down.
• Future events: we only email you about future events if you tick the box on the registration form. It is unticked unless you choose it, and you can change your mind at any time with the link in our event emails, or by emailing events@nerdsiv.com.
• Paid events: you pay on Paystack, by mobile money or card. Paystack receives your email address, the amount and the event name. We keep the amount, payment reference and date, and we do not receive your card number or mobile money PIN.

The meeting platform used for an online event, such as Google Meet or Zoom, handles your data under its own privacy policy when you join.

Website chat

The chat button on this site runs on Boafo AI, our own product. Our staff can read your conversation, and your messages can be processed by AI services that help produce replies, so AI may be involved in the answers you get. Please do not share passwords, payment details or other sensitive information in the chat.

How we use your information

We use it to reply to you, plan and price your project, consider your application, run events, issue certificates, keep the site secure, and improve our events and services. We do not sell or rent your information, and we do not use it for marketing you did not agree to.

Cookies, browser storage and statistics

We do not use advertising cookies. Clerk, our sign-in service, sets a small number of cookies on every visitor's browser, some lasting up to about 13 months. They support staff sign-in and protect the service against abuse. Clerk also keeps a small settings record in your browser, and the chat keeps your conversation details there once you start a chat, so that it can continue across pages and visits.

Vercel Web Analytics gives us statistics about visits to the site, such as which pages are viewed. It does not set cookies. Vercel also logs technical details of each request, such as IP address and browser type, for security and to keep the site running.

Who else handles your information

We use these service providers to run the site, and they handle information on our behalf:

• Vercel: Hosts this site, keeps its technical logs and provides visitor statistics.
• Neon: Hosts the database that holds forms, registrations, attendance, feedback and certificates.
• Resend: Delivers our emails.
• Paystack: Takes payment for paid events.
• Clerk: Handles sign-in for our staff, and is loaded on every page of the site.
• Anthropic and Groq: AI services that can process website chat messages.

Some of them store or process information outside Ghana. We may also disclose information if the law requires it. If you use the Add to LinkedIn link or a share button, you are sending that information to the service you chose.

How long we keep it

We keep information for as long as we need it for the reasons above. Event records and certificates stay on file so that certificates can still be verified later. We do not currently delete records automatically after a fixed period, so if you want yours removed, ask us and we will review and act on your request.

Your rights

Ghana's Data Protection Act, 2012 (Act 843) applies to how we handle personal data. You can ask us what we hold about you, ask us to correct or delete it, and object to or stop marketing. Email info@nerdsiv.comand we will respond promptly. We may need to keep some records where the law requires it, such as payment records. You can also complain to Ghana's Data Protection Commission.

Changes to this policy

We will update this page and the date at the top whenever this policy changes, including when we change what the site collects.
